Tuition Fees Refund Policy

Please see the Tuition Fee Refund Policy in reference to VET FEE-HELP.

This policy comes into effect upon application for enrolment in the Diploma courses offered by Phoenix Institute of Victoria (‘the Institute').

'Diploma courses' means Diploma in Transpersonal Counselling, Diploma in Transpersonal Art Therapy.

How to apply for a refund:
Download the VET Tuition Fee Withdrawal Form. To apply for a refund please complete the form and return to the Institute.

The date which the Institute receives the Refund Application Form is the effective date for the purposes of calculating the refund paid.

An administration fee of $70 applies to all refunds, except to refunds that result from an offer of a place being withdrawn or a course being cancelled.

Who the refund is paid to:
The refund will be paid to the student, unless otherwise requested in writing by the student.

The refund may be reimbursed to the student by cheque and sent to the student's address (unless otherwise specified in writing), or credited to your credit card, depending on how the original payment was made.

All refunds will be paid within four (4) weeks of receipt of the written refund application.

Disability Policy

This policy applies to all students at the Institute, including students in the professional development programs.

Overview
The Institute offers diploma courses and professional development programs.   The Institute is committed to the principle of equity and seeks to support its students to achieve their potential, to have the best possible experience during the course of their study, and to participate fully and as independently as possible in the education activities.

Legislative Requirements
In accordance with federal and state government legislation, including the Disability Discrimination Act (1992)(Cth) (‘DDA'), the Institute must ensure that in all of its policies and practices it seeks to eliminate discrimination against a student with a disability or against an associate of a person with a disability. This includes enrolment, participation, curriculum development and delivery, and student support services.

The Disability Discrimination Act (1992) defines disability as:
• Total or partial loss of the person's bodily or mental functions; or
• Total or partial loss of a part of the body; or
• The presence in the body of organisms causing disease or illness; or
• The presence in the body of organisms capable of causing disease or illness; or
• The malfunction, malformation or disfigurement of a part of the person's body; or
• A disorder or malfunction that results in the person learning differently from a person without the disorder or malfunction; or
• A disorder, illness or disease that affects a person's thought processes, perception of reality, emotions or judgement or that results in disturbed behaviour; and includes a disability that:
presently exists; or
previously existed but no longer exists; or
may exist in the future; or
is imputed to a person.

Reasonable Adjustments
To comply with the relevant legislation and to eliminate, as far as possible discrimination against people with disabilities, an education institution may provide reasonable adjustments. A reasonable adjustment is a measure or action taken by the Institute to assist students with disabilities in relation to application or enrolment, participation in the course or program and use of facilities and services.

In assessing whether an adjustment is reasonable, the Institute is entitled to maintain the academic requirements of the course or program, and other requirements or components that are inherent or essential to its nature.

Notification of a Student's Disability
Prospective students with a disability are encouraged to notify the Institute of any disability at the time of application so that the Institute can assess the disability and determine what reasonable adjustments may be required.

Validation of a Student's Disability
To be eligible for reasonable adjustments students are required to provide documentation from an appropriate health professional outlining the nature and functional impact of their disability on their studies.   Should a student's disability or medical condition change over time, the Institute reserves the right to request additional information.

Any confidential information provided to the Institute for the purposes of making adjustments shall not be disclosed except for the purposes of the adjustment or in accordance with a lawful requirement.

Identification, Implementation and Approval of Reasonable Adjustments
Using the supporting documentation from the health professional and in consultation with the student, the Institute Director shall, and in a timely manner, assess the impact of the student's disability on their ability to participate in the education activity, identify and implement reasonable adjustments.   Reasonable adjustments that impact on the performance and/or assessment of course requirements require the approval of the Institute Director.

Harassment and Victimisation of Students with Disabilities
Harassment, discrimination or bullying by any student of the Institute against another on the basis of disability is prohibited.  

Any grievances arising from discrimination or harassment on the ground of disability shall be resolved promptly and fairly using the Institute's Complaints Procedures.

The Institute will not tolerate victimisation of a person who lodges a grievance or who is the subject of a grievance involving disability. Any instances of victimisation should be reported to the Institute Director.

Mobile Phone Policy

Phoenix is committed to providing an encouraging and supportive environment for students to practice the skills of being a counsellor or art therapist, as well as maintaining the level of professionalism and respect for others that would be required of a practitioner.

To maintain this standard, students practising 'client / therapist' techniques in class, need to ensure they will not be interrupted during the process. Therefore, we request that all students keep their mobile phones turned off during class time, to be checked and answered only during breaks. Keeping your phone on silent or vibration still interrupts the class when the phone is answered.

In an emergency situation, students can ask to be contacted via Phoenix reception on 03 9510 4264. The only exception is if reception is not available (ie evenings or weekends) and you must keep your mobile on vibration for an emergency, you need to inform the lecturer, who will in turn inform the class. You will need to leave the classroom to answer the call. This exception only applies during teaching times, not ‘client and therapist’ practice times. If you need to have your phone on vibrate during practice times, you need to remain in reception until the practice session has ended.

Phoenix Institute aspires to the highest level of teaching. Staff at the Institute are not able to do their work properly if they are interrupted by mobile calls during class. It is also unfair to other students to have their learning environment interrupted. If a student has an emergency situation and must be on call, they may have to defer the Module or tutorial and make it up at a time when such an emergency is over.

If any student breaches this policy and continues to interrupt the class and teacher, they may be removed from the class, or with continuous breaches, be withdrawn from the course.
